What is the SENCO Communication Toolkit?

The SENCO Communication Toolkit is a practical, ready-to-use collection of professional letter and email templates designed to help Special Educational Needs Coordinators in English schools communicate confidently, consistently and warmly with the families of pupils with SEND. Spanning 35 pages, the toolkit contains eight carefully crafted templates covering the most common and often most challenging communication scenarios a SENCO faces — from inviting parents to an EHCP Annual Review to responding to a parental concern, handling a missed meeting, and sharing end-of-term progress updates. Every template is paired with a preparation worksheet and a tone guide, helping SENCOs personalise each communication thoughtfully before sending. The toolkit also includes a Communication Log for record-keeping, a GDPR reminder, and a professional development reflection prompt, making it as much a tool for reflective practice as it is a time-saver.

Who is this for?

This resource is written for SENCOs and SEN leaders in primary and secondary schools across England, whether experienced practitioners looking to streamline their communications or newly appointed SENCOs building their confidence in this area for the first time. It is equally useful for school office staff who support SENCO administration, and for headteachers or SLT members who want to ensure a consistent, professional and legally aware approach to SEND family communication across the school. The templates are aligned to the SEND Code of Practice 2015 and are suitable for the 2025–26 academic year.

How should it be used?

Each of the eight templates is designed to be a starting point rather than a script. Before writing, SENCOs are encouraged to complete the accompanying preparation worksheet — a short, structured prompt that captures key details, anticipated questions and any sensitivities to bear in mind. This step ensures that every communication feels personal rather than generic, which is especially important when families are navigating what can be an anxious and confusing process. The tone guides accompanying each template provide clear guidance on register — from the celebratory warmth of an end-of-term progress letter to the non-judgmental, solution-focused approach needed after a missed meeting. Templates cover the full range of SENCO–family touchpoints: EHCP reviews, new intervention plans, parental concerns, TA changes, EHCP evidence requests, and proactive check-ins.
